How to self-register as an IMI Qualified Mediator (Quick Guide)

This guide explains how graduates of an IMI Recognised Mediator Training Program (RMTP) become IMI Qualified Mediators, and how RMTP organisations can register graduates on their behalf. There are two ways to register: Self-Registration and Joint Cohort Registration.

Self RegistrationJoint Cohort Registration
Who initiates it? The individual graduate, by filling the self-registration formThe training organisation (RMTP), for one or more graduate(s), by filling the Joint Cohort Registration – Qualified form
Who pays for the Sign-Up Fee & the First-Year Listing Fee? The graduateThe first-year listing fee can be paid in two ways:

1) The RMTP collects the sign-up fee and pays IMI

2) The graduate pays the sign-up fee to IMI directly after the RMTP has submitted the graduate
Is it mandatory for the RMTP to collect and pay the sign-up fee?N/ANo. Collecting the fee from graduates and paying IMI on their behalf is entirely optional

Prerequisite Requirements

Before registering, a graduate must have a clear, legible digital copy of their course completion certificate. To be eligible, the certificate must meet both of the following:

  • issued no more than 5 years before the date of registration; and
  • issued by an RMTP that is actively registered and associated with IMI.
ScenarioEligible?
Certificate issued this year, by a training provider that is not an IMI-registered RMTP. ✗ Not eligible
Certificate issued 10 years ago, by an IMI-registered RMTP✗ Not eligible — outside the 5-year window

Self-Registration as IMI Qualified

Self-Registration is the route graduates use to apply to become IMI Qualified on their own, without their RMTP submitting them as part of a cohort. The graduate is responsible for all associated costs.

Summary of the Process

  1. The graduate submits their information, credentials, and account details through the Self-Registration form. This creates an incomplete IMI Qualified account.
  2. The IMI Qualified team reviews the application against the eligibility requirements above. The account remains inaccessible until approved.
  3. Once approved, the graduate logs in and purchases the IMI Qualified Mediator subscription to activate their listing.

Ready to apply? Access the form here: IMI Qualified Self-Registration form.

After approval: completing registration by payment

Once approved, the graduate receives an email confirming approval, with instructions to complete registration. The account can now be accessed, but it will not appear on the IMI Qualified Mediators directory until the sign-up fee and first-year annual listing subscription have been purchased.

All IMI Qualified Mediators must purchase the annual subscription product and renew it every year to remain listed. Non-renewal results in delisting of the mediator.

Step-by-step: paying and activating

  • Log in using the email address used at registration, and your password.

  • Add the product to the cart.

  • Go to checkout and complete the purchase.

Once payment is complete, the account becomes active and visible on the IMI Qualified Mediators directory.

Joint Cohort Registration (RMTP Organisations)

Joint Cohort Registration is the route RMTPs use to register a group of graduates at once, through the IMI Qualified Joint Cohort Registration form. This form is only accessible to official RMTP accounts — it is not visible to individual mediator accounts.

Tip: Joint Cohort Registration does not require IMI to individually re-review each graduate’s certificate. Because the RMTP submits the cohort directly, IMI relies on the RMTP having already vetted its own graduates — which is part of why this route is faster to process.

Choice Between Payment: RMTP or the Graduate?

When submitting a cohort, the RMTP decides how the one-time sign-up fee will be handled:

  • The RMTP can collect the sign-up fee from its graduates and pay it to IMI directly, by purchasing the RMTP IMI Qualified Profile product (see “Steps If You Choose to Collect the Sign-Up Fee,” below); or
  • The RMTP can leave this to each graduate, who then pays the sign-up fee to IMI directly once their profile has been submitted.

Collecting and paying the sign-up fee is entirely optional for the RMTP — it is not mandatory. The decision, and the responsibility for making sure graduates know which way it was decided, rests with the RMTP.

Important: This choice also determines what happens to the first-year listing fee (the annual subscription due after sign-up). If the RMTP collects and pays the sign-up fee on the graduate’s behalf, the first-year listing fee is waived in full — the graduate pays nothing in year one. If the RMTP does not do this, the graduate is asked to subscribe to the annual listing fee directly, alongside paying their own sign-up fee — the same total cost as Self-Registration.

The two full step-by-step tracks are set out below as separate sections, since which one applies is decided once, up front, for the whole cohort.

Steps if RMTP Collects and Pays the Sign-Up Fee

Follow this track if the RMTP will collect the sign-up fee from graduates and pay it to IMI directly.

Purchase of the RMTP product

  1. Log in to your RMTP account — the RMTP IMI Qualified Profile product is only visible to RMTP accounts.
  1. Go to the product page: RMTP – IMI Qualified Mediator Profile.
  1. Purchase the product with quantity equal to the number of graduates you are registering (e.g., 6 graduates = 6 units). You may also be asked to confirm your organisation’s name during checkout.
  1. Complete checkout with your preferred payment method and billing details (see “Fees, VAT and Payment,” below, for accepted methods and VAT/tax exemption steps).
  1. Card and PayPal orders are marked “Completed” immediately. Bank transfer orders are marked “Completed” once IMI receives and manually confirms the payment.
  1. Once the order is “Completed,” you will receive one email containing exactly two coupon codes — a Sign Up Waiver Coupon and a First Year Waiver Coupon. This is true no matter how many graduates you purchased for: you always receive just these two codes, not one pair per graduate.

Note: These two codes are shared across your whole cohort. Each code can be redeemed up to the quantity you purchased (e.g., 6 units purchased = each code usable by 6 different graduates before it stops working) — they are not unique per graduate, and they do not expire. They will become unusable upon redemption.

Registration of the Graduates

  1. Go to the IMI Qualified Joint Cohort Registration form, still logged into your RMTP account.
  1. Select your organisation’s name from the list, and confirm your RMTP contact email for enquiries.
  1. Under Listing Fee Status, select “We have collected the listing fee for these users and are remitting it to IMI.”
  1. Enter each graduate’s First Name, Last Name, and Email, using “Add Mediator” for each one — or upload a .csv file instead. If using a CSV, the column headers must read exactly First Name, Last Name, Email, with one mediator per row. A downloadable sample template is available on the form. The number of graduates registered should match the quantity purchased in step 3.
  1. Two fields appear — First Year Waiver Coupon and Sign Up Waiver Coupon — enter the two codes from step 6. Entering them here does not redeem them; it tells IMI which codes to forward to your graduates once approved.
  1. Optionally, leave a note for the IMI Qualified team, then submit the form. You will receive a confirmation email immediately.
  1. IMI reviews the submission. Once approved, new IMI Qualified Mediator profiles are created for each graduate with “Incomplete” status. The two coupon codes are automatically included in each graduate’s welcome email as part of the same communication — you do not need to distribute them yourself.

From here, each graduate completes their own registration — this cannot be done by the RMTP on their behalf:

  1. The graduate checks the welcome email sent to them, which includes the Sign Up Waiver Coupon and First Year Waiver Coupon.

  1. The graduate logs in to their “Incomplete” IMI Qualified account. No new registration is required — the account already exists.

  1. The graduate goes to the IMI Qualified Profile – Annual Subscription product page, adds it to the cart, and proceeds to the Cart page.

  1. The graduate enters the Sign Up Waiver Coupon and First Year Waiver Coupon separately, one at a time — not both at once.

Important: Enter the two codes one at a time. Entering both together can cause an error.

  1. Once both codes are applied, the total automatically changes to zero and no payment is required. On completing checkout, the graduate is listed as an active IMI Qualified Mediator.

If a coupon code does not work: codes do not expire, so an error usually means a mismatch between the code and the order. Contact qualify@imimediation.org with the order number, the date the codes were purchased, and which code was used — this lets the team check the order directly (see “Troubleshooting,” below).

Steps If the RMTP Does Not Collect and Pay the Sign-Up Fee

Follow this track if graduates will pay their own sign-up fee and subscribe to the annual listing fee directly. No purchase by the RMTP is required.

Registration

  1. Go to the IMI Qualified Joint Cohort Registration form, logged into your official RMTP account — the form is only accessible to RMTP Organisation accounts.
  1. Select your organisation’s name from the list, and confirm your RMTP contact email for enquiries.
  1. Under Listing Fee Status, select “The listing fee has not been collected – IMI to collect directly.”

  1. Enter each graduate’s First Name, Last Name, and Email, using “Add Mediator” for each one — or upload a .csv file instead. If using a CSV, the column headers must read exactly First Name, Last Name, Email, with one mediator per row. A downloadable sample template is available on the form. No coupon code fields appear for this option.

  1. Optionally, leave a note for the IMI Qualified team, then submit the form. You will receive a confirmation email immediately.

  1. IMI reviews the submission. Once approved, new IMI Qualified Mediator profiles are created for each graduate with “Incomplete” status, and each graduate receives a welcome email (no coupon codes are included).

From here, each graduate completes their own registration — this cannot be done by the RMTP on their behalf:

  1. The graduate checks the welcome email sent to them for registration instructions.

  1. The graduate logs in to their “Incomplete” IMI Qualified account. No new registration is required — the account already exists.

  1. The graduate goes to the IMI Qualified Profile – Annual Subscription product page, adds it to the cart, and proceeds to checkout — paying the sign-up fee and first-year subscription in full, the same as a Self-Registration graduate would.

  1. Graduates whose billing country qualifies under the IMI DEI Policy receive an additional discount automatically, based on the billing address entered.
  1. Completes checkout. The account becomes active and appears on the IMI Qualified Mediators directory.

Questions?

For any part of the registration process, contact the IMI Qualified team at qualify@imimediation.org.

Fees, Vat & Payments

Current fees

The regular annual listing fee is €75 (VAT exclusive, if applicable), and first-time registration also incurs a one-time sign-up fee of the same amount — so a graduate paying in full pays roughly €150 in year one, and €75 each year after.

DEI Policy discount

IMI’s Diversity, Equity and Inclusion (DEI) Policy applies three fee levels: the regular fee, a 25% discount, or a 50% discount, depending on the mediator’s billing country.

  • The system automatically checks DEI eligibility once a billing address is entered at checkout — no separate application is needed.
  • Mediators can also check eligibility in advance using IMI’s DEI Policy eligibility guide.
  • The DEI discount applies regardless of registration route — Self-Registration, or Joint Cohort Registration with or without RMTP payment.

VAT and tax exemption

IMI is a Netherlands-registered foundation and must charge 21% Dutch VAT to consumers (non-business customers) by default.

  • EU business customers: enter a valid VAT number at checkout. It is validated automatically via the EU’s VIES system. Without a valid VAT number, an EU customer is treated as a consumer and charged VAT.
  • Non-EU business customers (e.g., a law firm, sole proprietorship, or other registered entity): enter your Tax Identification Number (TIN) and self-attest as a business customer to remove VAT from the order.
  • Providing tax information is optional — it’s only needed if you want to claim the exemption.

Methods of payment

Payments can be made by credit card, PayPal, or bank transfer. Card and PayPal payments are confirmed immediately; bank transfers typically take a few working days to arrive and are manually confirmed by the IMI team once received. Note that some payment options may carry additional processing charges from the provider.

See our Methods of Payment page for more.

Renewal and Delisting

The annual listing fee is due every year to remain listed as an IMI Qualified Mediator (unless waived for a first year via Joint Cohort Registration — see above). Non-payment within the applicable renewal window results in delisting.

To be reinstated after delisting, contact qualify@imimediation.org. Reinstatement is treated as a new application, meaning both the one-time sign-up fee and the annual listing fee become payable again.

Troubleshooting

If you run into problems submitting a form or completing checkout:

  • Clear your browser cache, or try the form in an incognito/private window or a different browser.
  • If a coupon code doesn’t work, remember codes do not expire — contact qualify@imimediation.org with your order number, purchase date, and the code you tried to use.
  • Make sure you’re logging into the correct account: the RMTP product and Joint Cohort form require an RMTP organisation account, while the annual subscription product requires the individual’s own IMI Qualified account (current, incomplete, or previously listed).
  • If your organisation has more than one registered account (for example, under two different email addresses), check you are logging into the one that is actually recognised as your active RMTP — this has previously caused an organisation to appear “delisted” when it was in fact still active, simply because the wrong account was being checked.

Supporting Newly Qualified Graduates with Profile Completion

Once an account is created — whether through Self-Registration or Joint Cohort Registration — the graduate should pay particular attention to:

  • uploading a profile photo;
  • adding active locations;
  • adding working languages;
  • completing all required profile information; and
  • ensuring that any required feedback or reviews have been added.

Until the profile is complete, it will be marked as incomplete and will not appear in public search results.

Once the profile has been completed and the required feedback has been added, either the graduate or the training organisation should contact certify@imimediation.org to request that the profile be marked complete.

Organisation Login and Support

If your organisation does not appear to have access to its IMI organisation login, or if your login does not provide the expected access for your recognised program, please contact imisupport@imimediation.org.

Passwords can be reset through the IMI password reset page.

For any questions about submitting graduates, updating profiles, adding feedback, or organisation access, please contact qualify@imimediation.org.
