IMI Mediation Logbook and Feedback Hub

IMI have developed a mediation logbook and feedback hub that anybody can use. It allows you to:

  • Track your mediation experience for certification and registration purposes
  • Track your mediation learnings and reflections, enabling you to improve your practice over time
  • Track your ongoing professional development and takeaways (e.g. Continuing Professional Development and Continuing Legal Education) for registration and self-development purposes
  • Request feedback from parties
  • Receive automatic notification when parties leave feedback for you
  • View all feedback that parties have chosen to share with you
  • Enable your Reviewer to see all feedback about your performance, meaning they can easily write your Feedback Digest

The logbook is entirely online and easy to use. Scroll down to see what it looks like in action.

Add a logbook entry

To add a logbook entry, simply click ‘Add Logbook Entry’ from the home page or under the ‘Logbook’ tab. You will then see the following form.

Add a logbook entry

‘Role’ includes things like being the lead mediator, a mediation advocate, assistant or observer. ‘Medium’ allows you to input whether the mediation took place online, face-to-face, or a hybrid mixture of both. We encourage you to record things you did well, and things you found challenging, to help you improve your practice over time.

View, sort, print and export logbook entries

On the main Logbook page, you will see a list of entries.

Reviewing logbook entries

You can select the number of logbook entries you see on each page using the drop-down at the right-hand side. In the above picture, you can see that ’25 logbook entries per page’ are being shown.

Add filters to view only entries where, for example, you were the lead mediator. You can click on any column heading to sort the entries. Clicking on ‘Medium’ would show all the face-to-face entries together.

Click ‘Export’ to export the current view to CSV, which is a type of file you can open with software like Excel or Calc. If you scroll to the top of the page, you will also see a ‘Print’ button, which will create a PDF of everything shown on the page.

To view the full entry, or edit it, click the ‘view’ and ‘edit’ links respectively.

If you scroll down, you will also see your hours’ experience in different mediation roles.

Bar chart of mediation experience

At the bottom of the page, you will see your logged Continuing Professional Development, and can export, sort, and filter the information.

Update my account settings

The account settings menu bar appears beneath the main menu, and allows you to update your account or personal details, plus log out.

To update your name, email address, or password, head to ‘Account Settings’:

Account Settings page

On the ‘My Details’ page, you can choose whether your profile is visible to mediator directories or organisations with logins. If you have a profile on the IMI website (e.g. IMI Qualified or Certified, YMI member), you should insert your IMI profile link. You can also add an independent teviewer who has agreed to review the feedback you receive.

Amending ‘About me’ on the ‘My Details’ page.

Add a Reviewer

Before appointing somebody as your Reviewer in the logbook, please check they agree to help you in this way. Here are some tips about appointing a Reviewer. If your Reviewer does not appear in the list, invite them to the logbook by selecting ‘Add New Option’ on the ‘My Details’ page.

Reviewers can access the reviewing functions of the logbook without paying for access.

Request feedback from parties

To request feedback from mediation parties, head to the ‘Request Feedback’ tab. Insert their name, email address, and other information to help them recall the mediation.

Request feedback from mediation parties

Once you submit the form, the mediation party will receive an email inviting them to provide feedback. Parties’ names, emails, and the ‘mediation reference’ are all automatically removed after five days. Information you enter here is not retained by IMI.

Dear {NAME},

{MEDIATOR} has requested your feedback in relation to your recent mediation.
Reference: {REFERENCE}
Mediation end date: {MEDIATION END DATE}

The survey below will take 5-8 minutes to complete. When you finish, your feedback will be visible to the person that {MEDIATOR} has nominated as their ‘Reviewer’. {MEDIATOR} will not be able to see the feedback unless you choose to share it with them.

Here is a link to complete the survey: https://logbook.imimediation.org/#give-feedback/

The ‘Feedback Digest’ forms an essential part of all International Mediation Institute Certified Mediator and Mediation Advocate profiles, and is compiled by an independent Reviewer based on feedback from parties such as yourself. To learn more about the role of the Reviewer and the Feedback Digest, please see IMI’s website, here.

Kind regards,
IMI Support

This email has been sent at the request of {MEDIATOR}, and your name and email address are used exclusively for sending this feedback form. Feedback request details (name, email, mediation reference) are automatically deleted after 5 days. Any answers you choose to give in the feedback survey are processed in accordance with IMI’s Privacy Policy.
Email sent to mediation parties, upon the mediator’s request.

As long as you have a logbook login, you can also provide the link directly to your parties: https://logbook.imimediation.org/#give-feedback/

Review feedback received

When somebody leaves you feedback, you will receive an automatic email.

Dear {MEDIATOR},
{YOUR NAME} has left feedback about your recent mediation. Your Reviewer can now view this feedback.
The person has opted to share the feedback with you directly: {WOULD YOU LIKE THE MEDIATOR/ADVOCATE TO SEE THIS FEEDBACK?}
You do not need to take any further action.
Please note this inbox is not monitored. If you have questions, please send them to IMI via imimediation.org/contact.
Email sent to mediator when parties leave them feedback.

You can view all feedback about you that parties choose to share with you under ‘My Feedback’:

View party feedback.

When you ‘view’ any piece of feedback, you cannot see who left it for you or when, helping to ensure that parties feel comfortable leaving feedback.

View feedback details

IMI administrators can see the details of parties who have left feedback for mediators.

For Reviewers: View all feedback

When Reviewers log into the logbook, they will see just the ‘Home’ and ‘Review Feedback’ menu items. They can see which mediators have listed them as Reviewer:

People can see who has listed them as their Reviewer.

They can then search for and view the feedback for their mediators.

Reviewers can see an overview of feedback for the mediator, sorted by year.

When Reviewers view any piece of feedback, then can see full details, excluding who left the feedback. They also have easy access to the mediator’s Feedback Digest on the IMI website, so that they can quickly update it.

Viewing feedback – header seen by Reviewers.

For Directories: Verify experience

We have also built in a mediation experience search function for directories and other organisations who need to verify mediators’ experience and training. They can search any mediator whose profile is not marked ‘private’. All people and organisations with directory access are listed on the ‘Home’ tab.

Directories can search for mediators to verify their experience or training.

When directories ‘view’ your experience, they can see basic information only. They cannot see your learnings, parties, or feedback. They can view your total experience, as well as your experience per year, and can filter this by your mediation role.

Directory view – mediator’s experience.

Here is the same mediator, with their data filtered to only show hours’ experience as a lead mediator:

Directory view – mediator’s experience, filtered so that it only shows the person’s experience as a lead mediator.

They can also view CPD for the selected mediator

Directories and organisations can login at https://logbook.imimediation.org/#verify-experience/.
